Our impressive portfolio includes nearly 50 million square feet of medical outpatient buildings, lab and life science facilities and Senior Assisted Living centers, and we're growing! We are seeking a Real Estate Administrator to assist in directing and coordinating activities of on-site outpatient medical property management. This person will assist in effectively implementing procedures, cost controls and policies; maintain positive and proactive tenant and client/owner relations; assist property management team in maintaining invoice records and contacting vendors/setting up accounts.

POSITION RESPONSIBILITIES
Job responsibilities include but are not limited to:
  • Build strong, positive relationships with tenants, vendors, and team members by proactively communicating and earning their trust 
  • First and primary point of contact for tenant questions and requests, provide accurate and timely answers and solutions by working closely with the Engineering team, Property Manager, and work order tracking system
  • Receive, review, and code invoices for AP; create vendors in software for payment
  • Create and track contracts for vendor services, ensuring current Master Service Agreements are on file
  • Assist Property Manager by coordinating special events for tenants, including Healthpeak - sponsored outreach efforts as needed, etc.
  • Maintain accurate and easily accessible records of tenant and vendor contact information 
  • Regular and proactive building walks to assess cleanliness, identify maintenance needs, and flag any areas of concern requiring attention
  • Periodic building and site walks with vendors to ensure services have been reflective of Healthpeak's active service agreements
  • Attendance is an essential function of the job and is required in-office at company office, or at properties five (5) days per week
  • Competitive benefit package and pay rate commensurate with experience: $24.00 - $28.85/hour plus a generous cash incentive
POSITION REQUIREMENTS
  • Must have a minimum high school education or GED equivalent. Associate or Bachelor’s degree preferred
  • Two (2+) years of high-impact customer service experience required, office-based preferred
  • Must possess a professional demeanor under pressure, and excellent interpersonal skills 
  • Strong skills and ease engaging with others, actively listening, and communicating clearly and promptly - both in person and in writing, including email, chat functions, video and phone calls, and all other professionally appropriate mediums
  • Computer literate and proficient in MS Word, Excel, PowerPoint, Outlook. 
  • Exposure to Yardi is greatly beneficial, but not required
  • Familiarity with accounting concepts, the monthly accounting cycle, including an understanding of A/P, A/R, and commercial leases is greatly beneficial, but not required
  • Have access to reliable transportation and maintain a valid driver's license
  • Ability to work independently
